Why UAE Workshops Still Run on WhatsApp and Paper, and What We Built Instead

I’m a co-founder of Orions360, a software company in Abu Dhabi. One of our products, Smart Auto Manager, is built for UAE auto workshops and garages. This post is about why we built it, and what I have learned about building software for a very practical industry.

How many workshops actually run

Walk into many workshops around the UAE and you will find a similar setup:

  • Job status is tracked in WhatsApp groups, so messages get buried and customers call to ask whether their car is ready.
  • VAT invoices are calculated by hand or in Excel.
  • Parts stock lives in someone’s memory, so jobs stall when a part runs out.
  • Insurance claims and fleet orders are scattered across emails and spreadsheets.
  • At month end, every invoice is typed again into separate accounting software.

None of this is because owners don’t care. It is because the work on the floor is physical and fast, and most business software was designed for people sitting at desks, not for people with oily hands and a queue of cars.

What we built

Smart Auto Manager puts the whole workshop in one system, from the job card to the VAT return:

  • Digital job cards with live status, so technicians update progress and customers get WhatsApp updates automatically.
  • FTA-compliant VAT invoicing, with the TRN and 5% VAT calculated automatically.
  • Parts and stock with reorder alerts before a job stalls.
  • Insurance and fleet workflows, including a portal where fleet operators can approve and track jobs.
  • Accounting built in, so the ledger updates as you invoice and the VAT return comes from the jobs you actually did.
  • English and Arabic from day one.

We also built an assistant called Sami that answers questions such as “Who owes us money?” or “Is anything overdue?” from the workshop’s own data. It can prepare a work order or a payment as a draft, but it never writes to the records by itself. A person always confirms.

What building it has taught me

Meet people where they already are

Workshops already live on WhatsApp. Instead of fighting that, we made WhatsApp the channel for customer updates and reminders. A new system is far easier to adopt when it builds on habits people already have.

Design for the phone

Owners and service advisors are rarely at a desk. If something doesn’t work well on a phone, it won’t get used.

Compliance is a feature

For UAE businesses, FTA-ready invoicing and a clean VAT return are not extras. They are a reason to switch.

Marketing and product are one conversation

My background is marketing, and building a product has made me a better marketer. When you have to explain exactly which problem you solve, in the customer’s own words, both the product and the message get sharper.

If you run a workshop in the UAE, you can see Smart Auto Manager here. If you are building software and want to talk about taking it to market, get in touch. You can also see how I handle digital marketing and websites for UAE businesses.
